This is the privacy policy for Man-Lab Studios. This privacy policy explains how we use any personal information we collect about you and why we collect it.
Requesting a treatment with Man-Lab or the use of any related services indicates acceptance of the policy in force at the time of booking.

Who we are Man-Lab Studios (“Man-Lab”, “we”, “us”) is the data controller for the personal information described in this policy.

What information we collect
When booking a treatment with us for the first time, we ask for your name, phone number, email address and, in certain circumstances, your debit/credit card details. In order for your appointment to go ahead, we also ask for information about your age and health.
For each treatment booked and carried out by us, we record the date and time of the appointment, services carried out, results, price paid, products purchased, and any advice given by us relating to your treatment.
If you attend an appointment with a guest, we may also ask for your guest’s name for reception and safety purposes.
You do not have to share the above personal data with us, but if you choose not to, we cannot offer you a treatment at Man-Lab.
Personal information
We need your name and contact details to register you as a client and to send you confirmation and reminders of your appointments. We also use these details to send you paperwork related to your chosen treatments (e.g. a consultation form and aftercare advice).
Health information (special category data): Your age and certain health information is needed to ensure it is safe for us to provide the treatments you have booked. This is classed as “special category data” under UK GDPR. We only collect and use this information with your explicit consent, given when you complete your consultation/consent form, and solely to assess treatment safety.
We record information about all treatments carried out so that we can provide you with an efficient service, monitor customer trends, and fulfil the requirements of our insurers.
We use SalonIQ for our booking system. Your details are encrypted and stored on their secure servers, and the platform is password protected, ensuring only the therapist providing your treatment has access to your digital file.
In order to comply with the terms of our insurance provider, the above information is stored by us for 7 years after the date of your treatment.
Where we request a valid form of ID to confirm your identity before an appointment, this is used solely for identity verification and safeguarding purposes. We do not retain a copy of your ID beyond what is needed to confirm your identity, unless required for insurance or legal purposes.
Payment information
We use Stripe and Square/Sum Up for payment services.
On occasion, when registering as a new client, we request your credit or debit card details to help us prevent fraudulent bookings and to administer our cancellation policy. This information is encrypted and held securely by Stripe for as long as you are a registered customer.

When paying for your treatment by card, this is processed by Square/Sum Up. We do not keep paper receipts for accounting purposes — we operate on a digital basis only.

International transfers: Stripe and Square may process or store data outside the UK/EEA (for example, in the United States). Where this happens, appropriate safeguards are in place, such as Standard Contractual Clauses, to ensure your data remains protected to UK standards.
Marketing
We would love to send you occasional news, special offers and exclusive discounts by email. By default, all marketing messages are turned off. You can change your marketing preferences at any time through your online customer account, or by contacting us at info@man-lab.co.uk. You can also unsubscribe from marketing emails using the “unsubscribe” button included with every message.

Who we share your information with
We will never share your information with anyone outside of Man-Lab, except:
- Our booking, payment, and IT service providers (SalonIQ, Stripe, Square, Sum Up), who process data on our behalf under contract
- Where we are required to do so for legal or regulatory reasons
Your rights
Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Erasure — ask us to delete your data, where applicable
- Restrict how we use your data
- Object to certain uses of your data
- Portability — receive your data in a portable format, where applicable

Complaints

Identity verification
Please note that in order to maintain a safe and secure environment for our clients and staff, we may request that clients provide a valid form of ID to confirm their identity before their scheduled appointment. This is a standard procedure in the beauty industry and helps us ensure the safety and protection of all parties. We appreciate your understanding and cooperation.
